Adding collaborators & roles
Invite people to your experiment as members or admins, understand what each role can do, and handle requests to join.
Experiments are meant to be shared. You can invite collaborators, give each of them a role, and manage everyone from one place.
The two roles
Within an experiment, each person has one of two roles:
- Admin — sets up and owns the experiment. Admins can change its settings, manage collaborators, and do everything a member can.
- Member — contributes to the experiment: takes measurements with the mobile app, and adds comments. This is usually the person in the field.
An experiment can have several admins. Public experiments can be viewed by anyone, even people who are not members.

Invite a collaborator
Open your experiment and go to the Collaborators tab, then select Invite. There are two ways to add someone, both from the same search field:
- Add an existing user — search by name or email and select them. They get access immediately with the role you choose.
- Invite someone by email — enter an email address that is not yet on openJII and choose Send invite by email. They receive an email, and they join the experiment automatically once they create an account.
Choose the role (Member or Admin) as you invite. New collaborators are members by default.
The Collaborators tab groups people into three sub-tabs:
- Members — people who already have access.
- Invited — pending email invitations. Admins can Revoke one before it is accepted.
- Requests — pending requests to join (see below).
Requests to join a public experiment
Anyone viewing a public experiment they are not part of can select Request to join, with an optional message. Admins see these under the Requests sub-tab and can Approve or Reject them. Approved people join as members.
Changing roles and removing people
Admins can change a collaborator's role or remove them from the Members sub-tab. A member can also remove themselves with Leave.
An experiment always needs at least one admin. You cannot remove or demote the last admin.
